Calendar
The Calendar tab displays all side events submitted to your conference. Use it to review, approve, and manage event visibility.
Filtering Side Events
Quick Filters
| Filter | Description |
|---|---|
| All | Show all submitted side events |
| Pending | Events awaiting review (badge shows count) |
| Shown | Approved events visible on your calendar |
| Hidden | Declined events not shown on your calendar |
Additional Filters
- Date Range — Filter events by start date
- Search — Find events by name, organizer, or other details
Side Event Table
Each row in the table displays:

| Status | Visibility status (Shown, Hidden, or Pending) |
| Type | Event classification (Side Event or Official) |

| Submitted By | User who submitted the application |
Reviewing Side Events
Select Review on any event to see the organizer’s application responses. The review panel shows all answers to your conference’s side event application questions.
After reviewing, choose:
- Show — Approve the event and display it on your calendar
- Hide — Decline the event and remove it from your calendar
You can change an event’s status at any time. If you decline an event by mistake, change the status from “Hidden” back to “Shown” to approve it.

Event Types
Classify events to help attendees filter and discover content:

Exporting Calendar Data
Select the download icon to export your calendar as CSV. Choose which columns to include:
- Title
- Submitted On
- Status
- Type
- Start Time
- Organized By
- Submitted By
- Application question responses
You need the “Admin” or “Export data” permission to download exports.
Application Questions
Application questions determine what information organizers must provide when submitting a side event. These are configured in your conference settings.
Supported question types:
- Short text
- Long text
- Yes/No
- Guest ticket (collects attendee name and email)
Application responses appear in the Review panel and can be exported with calendar data.

Create Clear Submission Guidelines
Share guidelines with side event organizers covering:
- What types of events are welcome
- Timing restrictions (e.g., don’t conflict with keynotes)
- Venue requirements
- Branding guidelines
Establish a Review Cadence
- Review submissions daily during high-volume periods
- Provide quick turnaround to keep organizers engaged
- Communicate expected approval timelines
Maintain Calendar Quality
- Verify organizer legitimacy before approving
- Check for duplicate submissions
- Ensure accurate venue information
- Remove events that get cancelled
FAQ
How do I change what appears on the conference calendar?
Use the Status dropdown on each event row to toggle between “Shown” (visible) and “Hidden” (not visible).
Can I undo a declined side event?
Yes. Change the status from “Hidden” back to “Shown” to approve and display the event.
Why can’t I approve side events?
You need the “Admin” or “Approve events” permission. Contact another admin to update your permissions.
