Getting Started with Satellite
This guide walks you through the complete Satellite setup process, from initial configuration to post-conference analytics.
How It Works
Satellite integrates seamlessly into your conference planning workflow. We handle the technical setup while you focus on building your event ecosystem.
Your time commitment can be as low as 10 minutes. We handle all the technical setup—you just provide branding assets and approve side events as they come in.
Before Your Conference
We set up a dedicated page for your conference on Sero (e.g., ethcc.se.ro). You share the side event creation link with your community, and events flow in for your review and approval.
During Your Conference
Attendees discover and register for events through your branded calendar page. You see real-time data on who’s in town and where they’re going. Message organizers directly when needed.
After Your Conference
Export attendee data and analytics. Use insights to plan for next year.
Setup Process
Schedule a Demo
If you haven’t already, schedule a demo to see a live dashboard from one of our partner conferences. This gives you a clear picture of what Satellite delivers.
Get a Pilot Proposal
We’ll scope what setup and schedule looks like for your specific event, including timeline, integration points, and customization options.
Onboarding
Once you’re ready to proceed, we handle the complete technical setup:
- Create your dedicated conference subdomain
- Configure your branding and approval workflows
- Set up organizer communication channels
- Integrate with your existing registration systems
Launch
We provide ongoing support through your conference, including:
- Real-time monitoring
- Organizer support
- Data export assistance
What You’ll Need
To get started with Satellite, prepare the following:
- Conference branding assets (logo, colors, fonts)
- Side event submission criteria (what types of events you’ll approve)
- Key dates (when to open submissions, conference dates)
- Team contacts (who will manage approvals and communications)
- Application questions (optional—custom questions for side event organizers to answer when submitting)
Timeline
| Phase | Activities |
|---|---|
| Setup | Branding configuration, subdomain creation, workflow setup |
| Pre-Launch | Review implementation and approve before going live |
| Public Launch | Open submissions to wider community |
| Conference Week | Live monitoring, real-time support, organizer communications |
| Post-Conference | Data export, analytics |
We recommend launching Satellite 4-8 weeks before your conference to give side event organizers time to submit and promote their events.
Integration Options
Satellite works alongside your existing tools:
- Registration platforms: Works with Luma, Eventbrite, Partiful, and others
- Communication tools: Complements your existing organizer outreach
Side Events API
Want to display your side events calendar on your own conference website? The Side Events API gives you programmatic access to all your approved events—titles, descriptions, times, locations, and more.
Use it to build a custom calendar experience that matches your site’s design, or feed event data into other tools. See the API documentation for details.
